PROFESSIONAL ENVIRONMENT

The École française d’Extrême-Orient (EFEO) is a French public research institution under the supervision of the French Ministry of Higher Education and Research. With a specific mission to conduct studies on Asian cultures, the EFEO has a unique network of 18 research centres in 12 Asian countries, which facilitates the fieldwork carried out by its researchers.

The EFEO’s research centre in Jakarta is one of the oldest and most active of this network. Present in Indonesia since the 1950s, the EFEO conducts on site research programs in archaeology, history, philology, and anthropology.

POSITION

This position is part of the ALIPH Project – Climate Adaptation for Cultural Heritage in Indonesia, funded by ALIPH (International Alliance for the Protection of Heritage). This project examines the growing threats that climate change poses to Indonesian cultural heritage, including historic buildings, monuments, and heritage sites vulnerable to environmental degradation, extreme weather events, and long-term climate change. Through conservation projects and collaboration with local partners and sub-grantees, the project focuses on ten case studies across six provinces in Indonesia, covering various types of cultural heritage (historic buildings, archaeological sites, urban areas, traditional houses). Based on these case studies, the project aims to document customary and historical heritage preservation practices and to develop conservation protocols adapted to the Indonesian context, in order to strengthen the resilience of cultural heritage sites against climate risks.

This position is based at the EFEO Representative Office in Jakarta. The Project Assistant will report directly to the Project Director, Dr. Hélène Njoto (based in Paris), and will work closely with the two Project Managers (one based in the Jakarta office, the other in Paris).

MISSION

The Project Assistant coordinates and/or implements, in a versatile and autonomous manner, the administrative, financial, and logistical management activities of the ALIPH Project.

TASKS

More specifically, the Project Assistant will be responsible for the following tasks:

Regarding administration:

  • Drafting, preparing, and reviewing administrative acts (documents, decisions, etc.) for the ALIPH project
  • Ensuring administrative liaison between sub-grantees and the management team;
  • Contributing to the smooth flow of internal project information and national correspondence;
  • Organizing the management of mail, agreements, reports, presentations, and other related documents;
  • Ensuring the archiving of the project’s administrative documents (in paper and digital form);
  • Assisting with the review and correction of the project’s administrative documents;
  • Monitoring developments in regulations relevant to the project’s field of action.

Regarding finance and budget:

  • Preparing the administrative documents required for local business travel, verifying supporting documents, processing the payment of expenses and daily allowances (per diem), and ensuring the archiving of the corresponding documents with the relevant authorities;
  • Preparing documents related to agreement/contract linked to national revenues and/or payments;
  • Monitoring agreement/contract expenses, and managing the spreadsheets (Excel) needed to produce monthly accounting reports;
  • Collecting, scanning, and archiving supporting documents, ensuring their correct numbering and completeness in the monthly accounting reports;
  • Monitoring the project inventory (goods and equipment);
  • Contributing to the Indonesian translation of project documents intended for sub-grantees.

Regarding logistics:

  • Anticipating and ensuring the logistical organization of the project’s activities, including documentation of field visits (photos, videos, visit reports) if needed;
  • Contributing to the organization of events (meetings, national and international workshops).

SKILLS

Technical knowledge and skills:

  • Basic knowledge of administrative and financial management;
  • Proficiency in Microsoft Office software, particularly Word for document drafting and Excel for financial/quantitative data management; knowledge of graphic design software (Canva, Adobe Illustrator); of contracting procedures, invoicing, and financial reporting;
  • Languages: Indonesian (fluent), English (good level, spoken and written); proficiency in French is an asset.

  • Good interpersonal communication skills;

SALARY

Between Rp 7,500,000 and Rp 10,000,000 gross, depending on the candidate’s profile and experience.
